
Late Cancellation & Missed Appointment Policy
At Valeo Physiotherapy, our goal is to provide timely and fair access to all patients. Our Cancellation Policy helps us manage appointment availability responsibly, while remaining transparent and considerate of individual circumstances.
- Appointments must be cancelled or rescheduled 24 hours before your scheduled appointment in order to avoid a cancellation fee – voicemail or email left over the weekend is permitted.
- Appointments cancelled within 12-24 hours will be subject to a 50% charge.
- Appointments cancelled within 12 hours will be subject to a 100% charge.
- Missed appointments will be subject to a 100% charge.
- Note: this policy also applies to clients receiving care through an active WSIB claim.
- These charges are administrative fees for reserved appointment time. They are the patients responsibility and are not billable to insurance providers.
- Cancellations or rescheduling requests can be made through your online patient portal with Jane, or by calling our clinic directly at (437) 424-1234 or emailing at info@valeoclinic.ca.
- We understand that unexpected situations can arise. Late cancellation or missed appointment fees may be waived or reduced at the clinic’s discretion in circumstances such as emergencies or events beyond your control. All situations are reviewed case by case.
- We follow the local school board weather systems to determine circumstances around weather cancellations. If schools are not cancelled, we do not consider the weather to be a reason for late cancellations.
